Your privacy

This page explains what information RomeAroundServices handles when you request an estimate or date, work with us, use a private customer link, or pay for a service. It describes our current website and service workflows, not features that are still in development.

RomeAroundServices runs on consent and customer choice. We explain why information is needed to respond to a request or provide a service. Publicly sharing a customer's project is a separate, optional choice; declining it does not affect the service.

Information we handle

Depending on how you deal with us, this can include:

  • Your name, email address, phone number, preferred contact method, and property address.
  • The service you ask about, project description, property details, timing, and preferred booking dates or time windows.
  • Estimates, electronic approvals and signatures, contracts, change orders, job records, invoices, payment and receipt records, and warranty information created during our work together.
  • Photos, scans, documents, or messages you send to us separately, or that are added to an authorized job record.
  • Technical information needed to operate and protect the website, which may include browser or device details, IP address, security logs, and session information.

Selecting photos on the public estimate form does not upload them with that request. The form currently sends the written information you enter, not the selected photo files.

Why we use it

We use information to review and respond to requests; prepare estimates; consider and confirm booking requests; plan, perform, and document approved work; provide private customer records; issue invoices and receipts; manage payments and warranties; protect the website and accounts; and meet recordkeeping or legal obligations. A booking request is not an automatically confirmed appointment.

A private customer link can show records tied to that customer, such as properties, estimates, contracts, jobs, invoices, receipts, shared files, and warranty details. Please do not forward a private link to someone who should not see those records.

Project photos and publicity

We ask for a customer's separate permission before posting photos of their project or describing their work publicly on our website or social media. Permission to request an estimate or have work done is not permission to use project content for advertising. We do not post a customer's contact details or property address for publicity without their separate permission. If you want to discuss a post or change your permission for future use, contact us using the details below.

Who may handle it

Access within RomeAroundServices is limited to people who need information for their assigned work. Service providers also process information for us: our website host handles site traffic, Supabase supports application records and private files, and our email provider handles messages. If you choose an offered card-payment link, you continue to Stripe-hosted Checkout; Stripe handles the card details, while we record the resulting invoice and payment information. We do not collect your full card number on our website.

Providers may process information outside Canada, where it may be subject to local laws. We may also share information when needed to carry out the service you requested, with your permission, or where the law requires it. We do not make a customer's private job files public simply because they were provided for an estimate or service. Our separate permission practice for public project posts is described above.

Website access and safeguards

We use access controls, private customer links, and restricted file access to protect service records. Sign-in areas use session information to keep accounts working. The site may store a local interface preference in your browser. Our hosting and security systems may keep technical request logs. No internet service can promise absolute security.

How long we keep it

We keep information for as long as reasonably needed to answer an inquiry, provide services, maintain job and financial records, resolve disputes, or meet legal obligations. New estimate and booking requests receive a 90-day retention expiry date in our system; that date is not a promise of automatic deletion. If a request becomes a customer or job record, related information may be kept longer.

Your choices and contact

You can ask what personal information we hold about you, request a correction, or ask us to delete information we no longer need. Some records must be kept for business or legal reasons; we will explain if a request cannot be fully granted. You can also raise a privacy concern or ask about a service provider or a record shown in your private customer link.
